Appointment Booking
Let users check availability and book appointments directly in the chat — no forms, no page redirects.
How It Works
- The user says they want to schedule an appointment
- The bot checks available time slots using
get_available_slots - The bot offers available options
- The user picks a time
- The bot collects name, email/phone, and saves the booking with
book_appointment
Setup (3 Steps)
1. Enable the Add-on
Go to AxiaChat AI → Settings → Add-ons and activate "Appointment Booking".
2. Enable on Your Bot
Go to AxiaChat AI → Bots, edit your bot, and in AI Tools → Capabilities, toggle on "Appointment Booking".
3. Instruct the Bot
When a user wants to schedule an appointment, use get_available_slots
to check availability. Offer the available options. When they choose,
ask for their name, phone, and email, then use book_appointment to
save the reservation.

Notifications
Auto-Confirm
- Enabled — Appointments are confirmed automatically when created
- Disabled — Appointments stay "Pending" until you manually confirm them
Confirmation Email
Automatic email sent to the customer when an appointment is booked. Includes date, time, service, and confirmation code. The template is fully editable.
Reminder Email
Automatic reminder sent before the appointment (e.g., 24 hours before). Also fully editable. Helps reduce no-shows.
💡 Don't duplicate notifications
The Appointments add-on has its own email system for confirmations and reminders. If you also have Email Alerts enabled, don't set up alerts for "appointment booked" — the appointment add-on already handles that.
Webhook Integration
Send appointment data to external services via webhook:
- Go to AxiaChat AI → Settings → Add-ons → Appointments.
- In "Webhook Integration," paste your webhook URL.
- Leave empty to disable.
JSON payload includes: name, email, phone, date, time, service, notes, confirmation code, and source.
