Webhooks
Create custom AI tools that connect your chatbot to any external service via HTTP.
What Are Webhooks?
Webhooks let you create custom tools that the bot can call during a conversation. Each webhook is an HTTP endpoint — your bot sends data to it and receives a response, which it then uses to answer the user.
If a service has an API, your bot can talk to it.
What You Can Connect
- n8n — Automation workflows
- Zapier — Connect with thousands of apps
- Make (Integromat) — Complex automation flows
- Custom APIs — Your own backend, CRM, ERP, inventory system
- Any HTTP service — If it accepts HTTP requests, it works
How It Works
- You create a webhook in AxiaChat AI with the URL of the external service
- You define what parameters the bot should send
- You enable the webhook as a tool on your bot
- During conversation, the AI decides when to call the webhook
- The external service processes the request and returns a response
- The bot uses that response in its reply to the user
Creating a Webhook
- Go to AxiaChat AI → AI Tools → Custom Webhooks.
- Click "New Webhook".
- Configure:
- Name — Identifier for the bot (e.g., "check_order_status")
- URL — Endpoint of the external service
- Method — GET, POST, etc.
- Parameters — What data to send
- Description — Tell the AI when to use this tool
- Save and test.
💡 The description matters
The AI reads the webhook description to decide when to use it. Write a clear, specific description: "Use this tool when the user asks about the status of their order" works better than "Order tool."
Parameter Mapping
Define what information the bot extracts from the conversation and sends to the webhook:
- Static fields — Fixed values (e.g., API version, source identifier)
- Dynamic fields — Extracted from the user's message (e.g., order number, product name)
- JSON Schema — Validate parameter format before sending
Response Handling
Configure how the bot processes the webhook response:
- Extract specific data fields
- Handle errors gracefully
- Format the response for the user
Example: Order Status Check
Webhook Configuration
| Setting | Value |
|---|---|
| Name | check_order_status |
| URL | https://your-store.com/api/orders/{order_number} |
| Method | GET |
| Description | "Use this tool when the user asks about the status of their order" |
Conversation Flow
User: What's the status of my order #12345?
Bot: (calls webhook with order_number=12345)
Bot: Your order #12345 is in transit! It left the warehouse yesterday and should arrive by Friday.
Bot: (calls webhook with order_number=12345)
Bot: Your order #12345 is in transit! It left the warehouse yesterday and should arrive by Friday.
Example: n8n Integration
- Create a workflow in n8n with a "Webhook" trigger
- Copy the webhook URL from n8n
- Create a webhook in AxiaChat AI with that URL
- Define the parameters n8n expects
- n8n processes the request and returns data to the bot
Security
- Credentials are stored securely
- Add authentication headers as needed
- All calls are logged for auditing
- Configurable timeout prevents blocking
Debugging
Check AxiaChat AI → Logs → Tools to:
- See which webhooks were called
- Inspect sent parameters
- View received responses
- Identify errors
